Overview

Softech designed and implemented an AI Hotel Receptionist system that automatically handles incoming phone calls from guests. The solution enables natural conversations about availability, rates, stay conditions, and bookings. The product integrates with hotel systems and creates a 24/7 booking and guest service layer without requiring constant front-desk phone availability.

Problem

A large portion of hotel bookings still happens by phone. Guests call to ask about room availability, rates, stay rules, or to make a reservation. During peak hours, many calls go unanswered, which means lost revenue and weaker guest experience.

Solution

We created an autonomous AI Hotel Receptionist integrated with the PMS and room availability calendar. The system answers hotel calls, checks availability, communicates rates and conditions, creates reservations, and can handle confirmations or payment-related follow-up before arrival.

Business impact

After implementation, the number of answered calls increased almost to 100% because the system can handle many conversations simultaneously. Hotels began accepting more reservations outside front-desk hours and significantly reduced the number of missed inquiries.
